Faster Transcript Review, Stronger Admissions Workflows: JWU + MyDocs Webinar Recap and Q&A

Client Stories

Admissions teams are being asked to move faster while managing increasingly complex transcript workflows across first-year, transfer, international, graduate, and other student populations.

In our recent webinar with Johnson & Wales University, we explored how structured academic data can help institutions reduce manual transcript processing, improve consistency, and give admissions teams better information to support students earlier in the enrollment process.

The session also included a live demonstration of MyDocs in action. If you missed the live conversation, or would like to revisit it with your team, you can watch the full webinar on demand here.

What We Covered

During the session, Johnson & Wales University and MyDocs discussed some of the operational challenges admissions teams are navigating as transcript volume and complexity continue to grow.

The conversation focused on:

  • Reducing the manual work involved in transcript intake and review

  • Creating more consistent academic data across transcript formats and student populations

  • Supporting workflows for first-year, transfer, international, and other applicants

  • Giving admissions teams structured information they can use within existing systems

  • Using academic data to support faster, more informed student conversations

  • Seeing how MyDocs transforms transcript documents into structured academic profiles

JWU also shared its perspective on creating workflows that can scale while maintaining consistency and improving the prospective student experience.

Your Webinar Questions, Answered

We received several thoughtful questions during the webinar and were not able to address all of them before the session ended. Below are answers to some of the questions submitted by attendees.

Can MyDocs support international transcript review and grade normalization without a formal credential evaluation?

Yes. MyDocs can extract, structure, and normalize international transcript data to support an institution’s internal review process.

MyDocs can also translate transcript information into English when needed.

Whether a formal credential evaluation from an organization such as ECE or WES is also required depends on an institution’s policies, authentication requirements, and evaluation practices.

This means MyDocs can support institutions that want structured academic data and grade normalization for internal review while also fitting into workflows where a formal external credential evaluation is required.

How are duplicate or incomplete transcripts managed before they are sent to MyDocs?

Institutions typically use their existing CRM and document workflows to determine which transcripts are ready to be processed.

At Johnson & Wales University, staff identify duplicate documents, distinguish an updated transcript from an identical submission, and wait for missing information when necessary before sending a transcript for processing.

This allows the institution to maintain control over document readiness while MyDocs handles the work of extracting and structuring the academic information once the appropriate transcript has been identified.

How much staff time is spent working directly in MyDocs?

MyDocs is designed to reduce the amount of time staff need to spend working directly with transcript documents.

After initial setup and configuration, transcript data can be extracted, structured, and delivered into systems institutions already use, including platforms such as Slate.

Rather than introducing another system that requires significant daily management, MyDocs is designed to reduce manual processing so admissions professionals can spend more time reviewing applicants, supporting students, and focusing on higher-value work.

How does MyDocs use AI in the transcript translation process?

MyDocs uses AI to assist with transcript extraction, interpretation, and translation.

For transcripts containing information in another language, AI can help translate the academic information into English as part of the processing workflow.

Institutions maintain oversight of their admissions and evaluation processes and review the resulting information according to their own policies and practices.

These questions represent just one part of a broader discussion about how institutions can modernize transcript workflows without sacrificing consistency, quality, or institutional control.
